How Mail Forwarding Works at MI Virtual Offices
From the moment a piece of mail arrives at our Lawton address to the moment it reaches you — here is exactly how our mail handling and forwarding process works.
One of the most common questions we get from new clients is: "What actually happens to my mail?"
It's a fair question. When you use a virtual office address, you're trusting someone else to handle your business correspondence. Here's a transparent, step-by-step look at exactly how our mail handling process works — from the moment a piece of mail arrives to the moment it reaches you.
Step 1: Mail Arrives at Our Lawton Address
Your business mail is addressed to you at 1930 NW Ferris Ave, Suite 5A, Lawton, OK 73507. This is a real commercial suite address, so it's accepted by the USPS, UPS, FedEx, Amazon, and all major carriers.
When mail or a package arrives, our staff receives it and logs it into our system under your account.
Step 2: You Get a Same-Day Notification
As soon as your mail is received and logged, you get an email notification the same business day. The notification tells you:
- That mail has arrived for your business
- The sender (if visible on the envelope)
- The type of item (letter, package, etc.)
You don't have to wonder whether something arrived — you'll know the same day.
Step 3: You Choose What Happens Next
This is where your plan determines your options. Here's what's available on each plan:
Starter Plan ($19.99/month)
On the Starter plan, we receive your mail and notify you. You can:
- Request a digital scan of up to 10 pieces of mail per month — we open the envelope and scan the contents, then send you a PDF
- Hold your mail at our location for pickup (if you're in the Lawton area)
Mail forwarding is not included on the Starter plan.
Professional Plan ($39.99/month)
The Professional plan adds mail forwarding to the mix:
- Unlimited mail receipt and same-day notifications
- Digital scanning of up to 30 pieces per month
- Mail forwarding twice per month — we bundle your accumulated mail and forward it to your home or preferred address
- Package receipt — we accept packages from all major carriers and notify you
Premium Plan ($59.99/month)
The Premium plan is our full-service option:
- Everything in Professional, plus:
- Weekly mail forwarding — your mail goes out every week instead of twice a month
- Unlimited digital scanning — no cap on the number of pieces we scan
- Package forwarding — we forward packages to your address, not just letters
- Dedicated account manager — a single point of contact for all your mail needs
What About Packages?
Packages are handled similarly to mail. On the Professional and Premium plans, we accept packages from UPS, FedEx, Amazon, and other carriers. You're notified the same day a package arrives.
On the Premium plan, we can forward packages to your address. On the Professional plan, packages can be held for pickup or scanned (for documents inside packages).
What Happens to Unclaimed Mail?
We hold your mail for up to 30 days. If you haven't arranged forwarding, scanning, or pickup within 30 days, we'll send you a reminder. After 30 days, unclaimed mail may be returned to sender.
We'll always notify you before returning anything — we don't want you to miss something important.
Is My Mail Secure?
Yes. Your mail is stored in a secure, locked facility. Only authorized staff handle your correspondence. We treat your business mail with the same care we'd want for our own.
We do not open your mail without your permission (except for scanning requests, which you initiate).
How Do I Request a Scan or Forwarding?
You can request a scan or forwarding by:
- Replying to your mail notification email
- Contacting us directly at info@mivirtualoffices.com
We process requests promptly during business hours (Monday–Friday, 9am–5pm).
